Working Hours: Partial overlap with U.S. Pacific Time business hours preferred
Salary Range: $1,800 – $2,500 USD per month (DOE)

About the Company
We are a specialty finance company providing cash flow solutions to medical clinics and equipment providers treating personal injury patients.
We advance funds against medical receivables tied to insurance settlements and litigation outcomes, helping clinics maintain operational cash flow while cases resolve — a process that can take anywhere from 8–26 months.
We are entering a significant growth phase and are looking for a highly organized, systems-oriented operator to help us transition from founder-managed processes and fragmented spreadsheets into a scalable operational platform.
Role Overview
We are looking for a highly organized Operations & Systems Lead who can help build the operational infrastructure behind a growing specialty finance company.
Currently, much of our operational logic, reporting flow, and tracking systems live across multiple spreadsheets, documents, and founder knowledge. Your role will be to help organize, streamline, and improve the systems that power the business.
You will work directly with the founders to:
* Build operational workflows
* Create reporting systems
* Organize and improve spreadsheet infrastructure
* Maintain operational visibility
* Improve data accuracy and process consistency
* Help scale the business operationally
This role is ideal for someone who enjoys creating order from complexity and building systems that make businesses run better.
Key Responsibilities
1. Systems Building & Operational Organization (Priority #1)
Operational Cleanup & Structure
* Audit and organize existing Google Drive folders, spreadsheets, and operational workflows
* Help centralize operational tracking and reporting
* Improve naming conventions, file organization, and reporting consistency
Spreadsheet & Workflow Architecture
* Build and maintain advanced Google Sheets / Excel tracking systems
* Create interconnected operational dashboards and reporting workflows
* Assist in evaluating or implementing tools such as Airtable or Smartsheet where appropriate
Process Documentation
* Map and document the operational flow of deals from onboarding through repayment
* Create SOPs and repeatable operational processes
* Identify bottlenecks, inefficiencies, and areas for improvement
2. Data Management & Reporting
Financial & Operational Tracking
* Track medical receivables, settlements, funding activity, and operational milestones
* Maintain organized reporting across:
* Client funding activity
* Internal operational metrics
* Capital provider reporting
Reporting & Analysis
* Aggregate and organize operational data
* Build dashboards and reporting summaries
* Help improve visibility into cash flow, portfolio activity, and operational performance
Data Accuracy & Reconciliation
* Ensure information remains accurate and synchronized across systems
* Assist with ongoing operational reconciliation and reporting consistency
3. Strategic Operations & Process Improvement
AI & Automation
* Utilize AI tools and automation opportunities to improve operational efficiency
* Recommend workflow improvements and scalable systems
Operational Support
* Assist in organizing and tracking due diligence and operational data related to clinic underwriting and reporting
* Support operational scalability as the company grows
Continuous Improvement
* Help transition the business from reactive/post-hoc operational management into a more real-time, organized operational environment
Requirements
REQUIRED
Advanced Spreadsheet Proficiency
You do not simply “use” spreadsheets — you build systems within them.
You should be highly proficient in:
* Google Sheets
* Excel
* Formulas
* Data organization
* Reporting structures
* Dashboard creation
* Linked operational workflows
Systems Thinking
You naturally understand how operational processes connect together and can identify:
* workflow gaps,
* inefficiencies,
* bottlenecks,
* and opportunities for improvement.
Analytical Operations Experience
Experience in one or more of the following is preferred:
* Financial operations
* Lending operations
* Insurance operations
* Startup operations
* Reporting/analytical operations environments
* Healthcare administration or receivables tracking
Builder Mentality
You are comfortable operating in a startup or scale-up environment where:

Intelligence & Patience
You are capable of deep-diving into messy operational systems and organizing them thoughtfully and methodically.
Strong Follow-Through
You naturally keep projects, reporting, and operational tasks moving without needing constant oversight.
PREFERRED
* Experience with Airtable, Smartsheet, or similar operational tools
* Experience leveraging AI for workflow or operational efficiency
* Understanding of lending, receivables, insurance, or healthcare operations
* Experience working directly with founders or entrepreneurial businesses
