We are a US-based family office seeking a candidates to support the accounting and administrative operations of the family office. This is a foundational hire that will grow with the organization, reporting to a US-based Controller in Pittsburgh, PA - USA.
Duties and Responsibilities:
We are seeking a highly organized, detail-driven finance professional to manage personal bill pay and financial administration for a private principal and related business activities.
This role sits at the intersection of accounting, financial organization, and executive support. The person in this position will ensure that financial obligations are paid accurately and on time, financial records are organized, and administrative matters are handled with precision and discretion.
This is a high-trust position that requires strong accounting fundamentals, exceptional attention to detail, and comfort managing sensitive financial information.
Bill Pay & Financial Administration
* Manage personal and household bill pay using Bill.com
* Track and process invoices, payments, and recurring obligations
* Ensure timely payment of utilities, insurance, credit cards, property expenses, memberships, and vendors
* Maintain organized digital records of invoices, receipts, and payments
* Reconcile transactions against bank and credit card statements
Financial Tracking & Reporting
* Maintain detailed Excel trackers for expenses, payments, and financial obligations
* Monitor accounts for discrepancies or billing errors
* Prepare summaries of spending and financial activity
* Organize financial records for accountants and tax advisors
Administrative & Operational Support
* Maintain organized digital files and financial documentation
* Coordinate with vendors, service providers, and advisors
* Assist with administrative tasks, research, and documentation requests
* Provide occasional administrative support related to business entities
Minimum Requirements:
Language requirement: Excellent English Communication Skills
Education: Bachelor's Degree (ideally)
Experience: 3+ years of related experience
* Accounting or bookkeeping experience required
* Strong proficiency in Excel
* Experience using Bill.com or similar accounts payable systems
* Exceptional attention to detail and organizational ability
* High level of integrity and discretion
* Strong communication skills and ability to work independently
