Role Purpose
The Property Portfolio Manager is responsible for overseeing the effective management and performance of an allocated portfolio of properties. The role ensures optimal performance across key areas including leasing, credit management, financial administration, and facilities management.
The incumbent is responsible for driving sustainable income, managing budgets, maintaining operational excellence, and ensuring compliance with statutory requirements. The role also focuses on stakeholder engagement, including tenants, brokers, and clients, while leading and developing a team to ensure efficient execution of portfolio strategies and long-term asset value growth.
Key Responsibilities
Team Leadership
Provide leadership and direction to ensure a high-performing and accountable team environment.
• Oversee performance management, training, and development of team members.
• Drive a positive work culture aligned to organisational values.
• Ensure team competency and address performance gaps through development plans.
• Promote accountability, collaboration, and continuous improvement.
Marketing of Space and Lease Renewals
Drive leasing performance and ensure optimal occupancy across the portfolio.
• Manage vacancy schedules and implement effective marketing plans.
• Conduct lease negotiations and secure sustainable income streams.
• Ensure accurate and timely lease administration and contract finalisation.
• Monitor and proactively manage outstanding lease renewals.
• Oversee tenant installation processes to ensure timely occupation.
Property Management
Ensure properties are maintained and operated in line with required standards.
• Supervise service contracts and manage service providers effectively.
• Conduct regular property inspections and ensure maintenance standards are upheld.
• Oversee tenant installations and ensure compliance with specifications.
• Manage maintenance and repair activities across the portfolio.
• Ensure compliance with the Occupational Health and Safety Act and other statutory requirements.
• Maintain accurate records and prepare management reports.
Budgeting and Expense Control
Manage the financial performance of the portfolio.
• Contribute to the preparation of income and expense budgets.
• Monitor expenses and ensure alignment with approved budgets.
• Evaluate income streams and identify opportunities for improvement.
• Manage outstanding rent rolls in collaboration with credit control.
• Oversee energy management initiatives and cost optimisation.
• Manage legal matters related to tenant accounts where required.
Stakeholder Liaison
Maintain strong relationships with internal and external stakeholders.
• Act as the key liaison between tenants, clients, brokers, and the public.
• Address tenant concerns and resolve issues efficiently.
• Provide feedback and reporting to clients.
• Assist brokers with leasing queries and deal facilitation.
Revamps, Upgrades and New Developments
Support strategic initiatives to enhance portfolio value.
• Participate in planning for revamps, upgrades, and new developments.
• Collaborate with internal teams on improvement and development projects.
• Ensure alignment of projects with portfolio strategy and objectives.
