Role Overview: The Expediter & Operational Anchor
We are seeking a world-class, "Type A" Executive Assistant to serve as the strategic right hand to a high-intensity C-suite leader. You will report into a high performing, fast-paced and direct leader who operates at a high level across multiple business units—including a major real estate brand and several high-stakes side projects.
This is not a role for someone who needs a handbook or a set of pre-defined SOPs. We are looking for the "Law and Order" person—someone with a serious backbone who can thrive under intensity and bring structure to chaos. You are the "Expediter." Your mission is to see the board, optimize the board, and ensure the Founder stays focused on the high-value work that only they can do. To give an analogy, you are the “mission controller”!
Key Responsibilities
I. Executive Inbox & Communication Management
* Inbox Gatekeeper: Own the Founder’s inbox across multiple business lines. You will filter, reroute, and respond to emails, ensuring that "Inbox Zero" is attempted. Daily triage is required.
* Proactive Follow-ups: You don't wait for the Founder to ask; you identify what clients and partners need and ensure they are flagged for the founder to address before a bottleneck occurs.
* Email Marketing: Assist with expanding brand reach by managing email blasts and basic campaigns via tools like Mailchimp.
II. The "Daily Brief" & Calendar Mastery
* Strategic Calendaring: Manage a complex schedule that blends high-stakes commercial real estate meetings with personal and family logistics (travel, appointments, etc.)
* Operational Readiness: Conduct a daily morning and sign off (before end of business) "brief" to tell the Founder exactly what their day looks like, where they need to be, and what the high-priority objectives are for that specific day.
* Gatekeeping: Protect the Founder’s time aggressively, ensuring they remain focused on "Zone of Genius" tasks. This includes sharing insights that will help keep the C-suite you report to on track.
III. Systems, Workflows & "Digital Housekeeping"
* Workflow Optimization: Audit and drive order across our remote software stack (Notion, ClickUp, Slack). If a process is broken or slow, you are expected to fix it or build a new one.
* Nice to have: CRM Hygiene: Provide support in cleaning and maintaining our CRM systems (GoHighLevel and a transition to HubSpot). You will ensure data is actionable and organized once this hire has a clear understanding of how the C-suite’s operations flow.
* Digital Filing: Clean out the "digital closet." You will take ownership of Google Drive organization and file structures to ensure everything is searchable and professional.
* AI-Native Operations: Leverage AI tools (Claude/ChatGPT/Grok/Gemini) as a daily force multiplier to increase velocity and improve the quality of deliverables.
IV. Personal EA & Special Projects
* Founder Support: Handle various personal administrative needs including light finance reminders (i.e bill paying), acting as a true "work and life" EA to ensure the Founder’s personal life runs as smoothly as their business.
* Research & Ideation: Act as a sounding board for new ideas and research new platforms or strategic opportunities as they arise.
Who You Are
Experience & Traits HARD REQUIREMENTS
Personality fit is everything in this role.
* High-Intensity Pedigree: You have previously reported to aggressive, high-intensity, "Type A" C-suite executives. You are comfortable with direct feedback and fast-paced environments.
* The Backbone: You are not a "yes person." You have the confidence to push back, re-prioritize the Founder's time, and hold leadership accountable to their own schedule.
* Type A Personality: You are hyper-organized, meticulous with detail, and thrive on bringing order to a "Type B" (less organized) leader.
* Fluent English: Your written and verbal English is professional, sophisticated, and capable of representing the Founder in email/to external and internal stakeholders. Note, this role is built on trust and the C-suite will be handling emails going out until that relationship is further built.
Technical Proficiency
* Project Management: Advanced experience in Notion and ClickUp.
* CRMs: Familiarity with GoHighLevel or HubSpot is a significant plus.
* General Stack: Proficient in Slack, Google Workspace, and Mailchimp.
AI Literacy: You are comfortable using AI to draft content, summarize recordings, and optimize workflows.
