Applications are invited from suitably qualified candidates for the position of the Administration Officer, to be based at our Kagiso Campus. The successful candidate will report to the Support Services Manager.
PURPOSE OF THE JOB:
To provide efficient and effective administrative support to ensure the smooth operation of organisational process. The Administration Officer is responsible for coordinating administrative activities, maintaining accurate records and supporting internal teams to enhance service delivery and operational efficiency.
Responsibilities and Duties
To develop and maintain effective relationships with colleagues and external agencies.
Oversee general office needs as and when requested.
Take and type minutes of meetings conducted.
Do manual and electronic filing of documents.
Assist with general administrative duties, like managing stock, stationery and new orders.
Direct calls and forward messages to the team.
Have sound knowledge of petty cash administration.
Demonstrate basic knowledge of accounting and frontline management.
Able to work within the context of a multi professional team.
To maintain, at all times the confidentiality of youth, family and Girls and Boys Town SA’s programme information.
Participate in all organisational activities, including but not limited to developmental workshops/training, teambuilding exercises and therapeutic meetings.
Perform any reasonable duty when requested to do so.
MINIMUM REQUIREMENTS:
Matric (Grade 12) qualification
Sound knowledge and understanding of basic bookkeeping principles
Minimum of 3 years’ administration experience
Skills and Competencies
Strong communication and interpersonal skills.
Proficient in Microsoft Office, including work, excel, outlook etc.
Excellent administrative and organisational skills, with ability to prepare reports, presentations and formal documentation.
Proven ability to multitask and manage competing priorities effectively.
