The principal function of the Property Administrator is to ensure that various critical administrative tasks, all as listed below, are performed to ensure that the entire portfolio’s administrative requirements are complete in every respect.
* Drafting of general correspondence regarding the day-to-day requirements of the portfolio in accordance with the company’s standard correspondence templates where applicable.
* Drafting LAF’s (Lease authorisation forms)
* Renewal letters
* Tracking status of all Leases and renewal letters.
* FICA document collections.
* Conducting credit and reference checks.
* To establish and maintain effective support services for the property management functions, primarily the administration of the Agreement of Lease.
* Ensuring that adequate steps have been taken to recover utilities, municipal charges and other operating cost expenditure, where necessary.
* Ensuring that each agreement of lease within the portfolio is comprehensively completed, signed appropriately and correctly, provided to the respective tenant and stored safely within the company’s lease filing facility.
* Vacancy schedule – update the schedule on monthly bases
* Credit checks
* Loading of lease on MDA & J Drive
* Prepare monthly management report/ packs
* Prepare lease pack
* handling tenant queries
* Gathering of information throughout the year relating to the compilation of budgets and forecasts to enable the department to compile budgets/forecasts easily.
* Any other assistance that the department may require from time to time as identified by the parties.
* The compilation of comprehensive reports to stakeholders regarding the different areas of responsibility.
