Job Summary
Key Responsibilities
* Answer and screen calls and emails for the manager as requested.
* Maintain the appointment diary for the Admin Manager.
* Compile and distribute daily security asset inspection reports.
* Compile and distribute daily consumption reports.
* Collect monthly reports from branches (HSE, Security, Fleet, Consumption).
* Capture data from monthly reports accurately.
* Obtain monthly invoices from service providers and follow up on outstanding items.
* Process monthly payments by completing purchase requisitions and submitting them for approval.
* Submit approved requisitions to Finance and ensure payments are processed before due dates.
* Conduct monthly hygiene and safety inspections, ensuring cleanliness of facilities.
* Ensure monthly vehicle inspections are completed and recorded.
* Process fleet vehicle costs, maintain updated records, and report on fleet maintenance.
* Complete and submit insurance claim reports with supporting documentation.
* Follow up on insurance claims until resolution.
* Process tracking installation requests and ensure certificates are received.
* Create and manage user accounts on the tracking system, communicating details to relevant managers.
* Draft letters, emails, and take minutes during meetings.
* Attend meetings on behalf of the manager when delegated.
* Maintain an organized and accessible filing system.
* Perform general driving duties, including transporting persons and delivering/collecting goods.
* Carry out ad hoc administrative tasks to ensure smooth operational flow.
Minimum Requirements
* Matric certificate
* Minimum 3 years’ experience in a similar role
* Code 8 driver’s license
* Proficiency in Microsoft Office (Word, Excel, PowerPoint)
* Strong written and verbal communication skills in English
* Excellent organizational and multitasking abilities
* Confident and proactive approach; anticipates issues and requirements
* Team player with strong interpersonal skills
* Honest, reliable, and dedicated
* Detail-oriented with a focus on accuracy
